Why Convert Word Documents to PDF?
Word documents are designed for editing. PDF documents are designed for distribution. When you send a .docx file to a client, recruiter, or colleague, the layout they see depends on which version of Word they have, which fonts are installed on their system, and what their default page settings are. A perfectly formatted resume can look broken on a different machine.
PDF (Portable Document Format) was designed by Adobe precisely to solve this problem. A PDF looks identical on every device and operating system — the fonts, spacing, images, and pagination are all embedded and locked. Converting to PDF before sending ensures the recipient sees exactly what you intended.
PDF is also the expected format for digital signatures, legal submissions, job applications, academic papers, invoice archives, and any document that needs to be preserved exactly as written. Converting your DOC to PDF is the standard final step before sharing any formal document.
What Gets Preserved in the PDF Output
The converter preserves the following elements from your DOC or DOCX file:
- ✓Fonts and typography: Heading styles, paragraph fonts, bold, italic, underline, and strikethrough are all retained. If the document uses embedded fonts, they are included in the PDF.
- ✓Tables: Table structure including cell borders, column widths, merged cells, and cell background colors is preserved. Complex multi-level tables may require a review pass after conversion.
- ✓Images and diagrams: Inline images and floating images are embedded in the PDF at their original resolution. Ensure your source images are at least 150 DPI for crisp print output.
- ✓Paragraph and page layout: Margins, page orientation (portrait/landscape), line spacing, and section breaks are honored in the PDF output.
- ✓Hyperlinks: Clickable URLs and internal document links remain active in the PDF. Readers can click links directly in their PDF viewer.
- ✓Lists: Bulleted and numbered lists with correct indentation levels are preserved.
DOC vs. DOCX: Which Should You Use?
Both DOC and DOCX are Microsoft Word formats, but they are architecturally different. DOC is the binary format used by Word 97 through Word 2003. DOCX is the XML-based Open Document format introduced in Office 2007 and used by all modern Word versions.
For conversion to PDF, always prefer DOCX. The DOCX format is a ZIP archive of XML files, which is much easier for converters to parse reliably. Binary DOC files require a more complex parsing pass and are more likely to produce minor formatting differences in the output. If you have an old .doc file, open it in Word or LibreOffice and save it as .docx before converting.
The converter supports both formats. You can upload either extension and receive a valid PDF. For documents created in the last 15 years, you almost certainly have .docx files already.
Common Use Cases for DOC to PDF Conversion
Resumes and CVs
Recruiters receive hundreds of documents. Sending a PDF ensures your resume formatting is pixel-perfect regardless of the recruiter's system. Word documents often reformat when opened on different machines.
Invoices and Proposals
Business documents like invoices, project proposals, and quotes should be sent as PDF to prevent accidental editing. PDFs also embed fonts so your company branding looks correct on the recipient's screen.
Legal and Compliance Documents
Courts, regulatory bodies, and legal platforms accept PDF only. Convert contracts, filings, and compliance reports from DOC to PDF as the final step before submission.
Academic Submissions
Most journals, conference submission portals, and university systems require PDF. Convert your thesis, paper, or research report to PDF to meet submission requirements.
Archiving Documentation
PDFs are the standard for long-term archiving. Technical documentation, release notes, and user manuals converted to PDF are self-contained and readable without the original software.
Print Production
Print shops and on-demand publishers require print-ready PDFs. Converting your DOC with the correct margins and page size gives you a print-ready file without needing Adobe Acrobat.
Limitations and Edge Cases
- !Macros and VBA code: Word macros and VBA scripts are not included in PDF output. This is expected — PDFs do not support executable code.
- !Custom fonts not embedded: If your document uses a font that is not installed on the converting machine and is not embedded in the DOCX, the converter will substitute a fallback font. Use common system fonts (Arial, Times New Roman, Calibri) for consistent output.
- !Complex SmartArt and Charts: Word SmartArt diagrams and Excel-embedded charts may render as static images in the PDF rather than as vector graphics. The content will be visible but not as crisp as native vector elements.
- !Password-protected documents: Password-protected DOCX files cannot be opened without the password. Remove protection in Word before uploading.
- !Track Changes markup: Accept or reject all tracked changes before converting. Track Changes markup may appear as deleted/inserted text in the PDF if not resolved.
Frequently Asked Questions
Does the converter work on Mac and Linux?
Yes. The converter runs in any modern browser on any operating system. You do not need Windows or Microsoft Office installed.
Can I convert a Google Doc to PDF using this tool?
To convert a Google Doc, first export it as DOCX (File → Download → Microsoft Word .docx), then upload the .docx file here.
Will the PDF be the same page size as the Word document?
Yes. The PDF inherits the page size and orientation (portrait or landscape) set in the Word document. Letter, A4, and other standard sizes are all supported.
Is there a file size limit?
There is no hard limit. Very large DOCX files (50+ MB with many embedded high-resolution images) may take longer to process in the browser. Most documents convert in seconds.
Can I make the PDF non-editable?
PDFs generated from DOC files are inherently harder to edit than the original Word document. For strict edit-protection (password-protected PDFs), you would need Adobe Acrobat or a server-side PDF library.
How is this different from printing to PDF in Word?
Printing to PDF in Word requires having Word installed. Just Formatter's converter works in any browser with no software installation, which is useful when you're on a shared computer, a Chromebook, or a machine without Office.
